World Vision Uganda (WVU) is a Christian relief, development and advocacy non-government organisation dedicated to working with children, families and communities to overcome poverty and injustice. We currently work in 43 districts and have 48 Area Programmes implementing projects in health & nutrition, water, sanitation & hygiene (WASH), livelihoods & resilience, education and child protection. Position:         Assets and Stores Officer

Report to:       Senior Administration Officer

Location:         Kampala – National Office

Purpose of the position:

 

The Stores and Assets Officer will support the administration and procurement units to manage inventories and receiving goods from respective suppliers. The Store Officer will responsible as central receiver in Provision systems.

 

The jobholder will responsible to register all WV Uganda fixed assets and update the assets status in quarterly basis to management. This position would therefore suit someone who has strong technical experience in inventory or asset management, whilst also having good skills in operating Ms. Excel.

 

Key Outputs/Responsibilities.

 

Inventories and Fixed Assets Management:

  • Coordinate bin cards and stock cards when items are issued and received in the store.
  • Receive items delivered against an approved LPO, and verify quality, quantity, and specifications. Scan the QR code for the toner to avoid counterfeit.
  • Prepare monthly stock report and share with supervisor for review by the 5th day of the new month
  • Ensure the store is well arranged and organized with easy accessibility to items in store.
  • Prepare a waybill for any item being dispatched to the field office.
  • Prepare a summary of items delivered within the week and share it with the supervisor every Thursday.
  • Notify requesters immediately about delivered items.
  • Submit complete vendor invoices to finance.
  • Keep accurate and complete store records for audit reference such as waybills, delivery notes, GRNs, Invoices, bin cards, stock cards, etc.

 

Fixed Asset Management

  • Ensure assets are properly tagged before issuing them to users.
  • Update the NO asset register whenever new assets are acquired, disposed of, donated, or lost.
  • Ensure users of assets acknowledge receipt by signing on an asset acknowledgment form.
  • Participate in annual physical asset verification exercise.

 

Managing generator operations.

  • Update the generator log sheet daily in the morning and evening.
  • Monitor daily fuel consumption and refuel when consumption is at 25% or below to avoid incidences of a generator running out of fuel
  • Monitor generator service maintenance schedule and notify supervisor 2 weeks prior to the required service time.
  • Prepare monthly generator fuel consumption report.

 

Qualifications: Education/Knowledge/Technical Skills and Experience.

  • Education: Bachelor’s degree in Business Administration, Logistics and Supply Chain or related field.
  • At least 2 year relevant experiences in stores maintenance and inventory management
  • Strong technical knowledge in managing inventories with good background in computer skills of Microsoft Excel.
  • High integrity and proven commitment to accountability practices
  • Proactive personality, self-driven and strongly motivated.
  • Proven ability in the implementation of large-scale programs
  • Relationship management/networking, and coordination.
  • Spiritual maturity, interfaith knowledge and a biblical worldview – ability to articulate and model our Christian identity and mission in an inclusive way.
  • Good interpersonal skills, strong communication skills, both verbal and written.
  • Excellent management, analytical and negotiation skills
  • Strong information technology skills
