Job purpose

The Executive Assistant will  be responsible for coordinating and providing high-quality administrative support to the CEO and the executive team while reporting to the Chief Executive Officer and Chief Finance Officer. The position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Duties and responsibilities

  • Maintain the Chief Executives appointments’ schedule by planning and scheduling physical and virtual meetings.
  • Drafting letters and documents including collecting and analyzing information as well as initiating telecommunications.
  • Filing and retrieving corporate records, documents, and reports.
  • Coordinates all travel arrangements and provides documentation as required.
  • Accurately and professionally recording minutes from meetings.
  • Reading and analyzing incoming memos, submissions, and distributing them as needed.
  • Opening, sorting and distributing incoming emails and other correspondence.
  • Provide general administrative support in liaison with the senior administrative Officer
  • Support the Senior administrative Officer in handling complex office administrative work
  • Any other duties in relation to the above as may be assigned from time to time

Qualifications and experience

  • Bachelors’ degree in Business Administration, Secretarial studies, public administration or any other related course.
  • At least 3-5 years’ experience as an Executive Assistant in a reputable organization
  • Experience with taking high level Board meeting minutes is a must
