Human Resources Coordinator (m/f/d) – National position

HUMAN RESOURCES COORDINATOR (M/F/D) – NATIONAL POSITION
The Human Resources Coordinator is responsible for the implementation of MI’s country (global) HR standards (procedures and policies) and support the program implementation.
Responsibilities:
- Lead the periodic review of the National Staff Rules and Regulations (NSRRs) and ensure compliance through implementation of the NSRRs, implement/rollout the Code of Conduct, the staff complaint/feedback mechanism as well as review and update of the HR Guidelines
- Ensure day-to-day HR-related functions are addressed in a timely, efficient, and proactive manner Contribute to the development of the country strategy and action plans on HR aspects
- Ensure the compliance to the performance management system and completion of the annual performance evaluation process
- Prepare annual training plans and budgets in line with the country strategy
- Assist and advise on conducting / arranging of staff development trainings and other human resource development activities as well as identify competent training providers, venues, negotiating terms and maintain the contacts database
- Coordinate the recruitment process and work with team members to ensure a smooth process flow from identification of a vacancy to the filling of that vacancy as well as to ensure conformity with recruitment requirements and compliance with the rules and regulations
- Develop new position descriptions and maintain all Terms of Reference (ToR) for the office
- Preparation of staff contracts, staff renewals, briefing of newly recruited staff, debriefing of departing staff. Ensure an effective onboarding and induction program that promotes a learning environment and follows through on feedback. As well as manage the exit interview process and collecting feedback for appropriate implementation
- Regularly update and maintain employee records in an accurate and timely manner
- Ensure compliance with the local labour laws and maintain a thorough awareness of developments in labour laws and legislations to advise management accordingly
- Provide regular monthly/quarterly reports on HR related issues as maybe required
- Ensure the smooth running of the HR office including raising procurement requisitions for the HR department by receiving and distributing incoming mails for the HR department et al.
- Logistical organization and maintain meeting records of HR meetings, country management meetings and staff meetings
- Ensure a respectful and harmonious work environment by advising managers on policies like equal employment opportunity and sexual harassment and maintain health and safety of the workforce
- Develop an organizational culture that emphasizes on quality, continuous improvement, key employee retention and development and high performance
- Make periodic visits to field offices, and from time to time, to its partners or implementing agencies, to provide human resources, and build the capacity of partners
Qualifications:
- University degree in Human Resource Management, HR Business Administration or Organisational Psychology
- At least 5 years of relevant experience with good understanding of INGO procedures
- A clear understanding of local labour laws
- Strong organizational skills
- A demonstrated multi-task ability to and skills in processing information
- Fluency in English (written and spoken)
- Computer literate with hands on experience with MS Office programs, especially MS Excel
Conditions:
- Starting date: As soon as possible
- Duty Station: Kampala, Uganda
- Duration of contract: 12 months
